How do I use WhatsApp quick replies and labels to stop missing orders?
Write quick replies for the ten questions you answer every day, and give every chat a label that shows its stage: new, quoted, paid, dispatched, follow-up. Then check the 'new' and 'quoted' labels twice a day. That routine alone stops most missed orders for a small Islamabad or Rawalpindi business without any paid software.
WhatsApp quick replies aur labels se orders miss hona kaise band karein?
The longer answer
Quick replies are saved messages you trigger by typing a slash and a shortcut, for example /price, /location or /cod. Start by scrolling back through a week of chats and listing the questions that repeat: price, delivery to Bahria Town or DHA, payment by JazzCash or Easypaisa, shop timings, whether an item is in stock, how to book. Write one clear answer for each, in the language your customers use, which in the twin cities is often Roman Urdu. Keep each answer short and end with a question that moves the chat forward.
Labels are coloured tags on chats and contacts. The default ones are fine to start, but rename them to match how you actually sell. A furniture showroom might use 'New enquiry', 'Quote sent', 'Advance paid', 'Delivered' and 'Follow up'. A clinic might use 'Wants appointment', 'Booked', 'Reminder sent' and 'Report pending'. You can filter the chat list by label, which turns WhatsApp into a basic order board.
The routine matters more than the setup. Twice a day, filter by the early-stage labels and clear them: reply to every 'new' chat, and follow up on every 'quoted' chat older than a day. Move chats along as they progress. When the 'quoted' pile keeps growing, you have learnt something useful about your pricing or your reply speed.
Add a greeting message for first-time chats that sets an honest expectation, such as replying within working hours, and an away message for evenings and Fridays. If two or three people share the phone, agree who owns which label so nobody assumes someone else replied.
