How do I train a chatbot on my own business information?

When people say 'train a chatbot', they usually mean making it answer from their own information. Modern chatbot platforms do this by retrieval: your documents are stored, and when a customer asks something, the relevant passages are found and given to the model along with instructions to answer only from them. Actual model training is rarely needed for a business bot and would be the expensive route.

The quality of the knowledge base decides the quality of the bot. Gather the real questions first: export or scroll a few weeks of WhatsApp and Instagram chats and list what people ask, in their own words. Then write a plain answer for each. Include the facts the bot will be asked for, such as services, price rules or ranges you are happy to state, branch addresses with landmarks, delivery coverage across Islamabad and Rawalpindi, payment methods, working hours including Fridays and Ramadan. Short, unambiguous sentences work better than marketing copy or long PDFs.

Next write the instructions, the bot's rulebook. Tell it the tone (polite, brief, replies in the customer's language, Roman Urdu if they wrote Roman Urdu), what to ask before quoting, what never to promise, and exactly when to hand over to a person: complaints, refunds, custom orders, anything medical or legal, or any question not covered by the knowledge base. An instruction to say 'I will check with the team' is far better than a guess.

Then test hard. Run fifty real past messages through it, including rude ones, vague ones and ones mixing two questions, and fix every wrong answer by improving the knowledge base, not by arguing with the bot. Repeat whenever prices or services change, and keep one named person responsible for updating it.
